Oakleaf Group’s Business Continuity Plan is designed to protect employees, property, data, and records and restore operations as quickly as practicable after a significant disruption. It applies across the organization’s business continuity management scope and covers backups, critical systems, communications, alternate work locations, suppliers, and plan testing.<br /><br />The plan identifies critical services and systems, setting maximum acceptable outages and recovery time objectives. Most critical systems—including remote desktop, domain controllers, and file services—have a 24-hour maximum outage and a four-hour recovery target. Data is protected through redundant systems and scheduled or cloud-based backups, including off-site storage.<br /><br />A cross-functional Emergency Response Team is authorized to manage disruptions. The COO serves as Emergency Response Manager, with the IT Team Lead as backup. Incidents are reported through designated IT support channels or to the COO; the Emergency Response Manager decides whether to activate recovery plans. The plan also assigns responsibility for decisions, public communications, coordination with emergency services, evacuations, and employee communications.<br /><br />If offices are unavailable, operations can move to mirrored alternate sites in Chevy Chase or Bethesda, or to employees’ homes. Critical systems and data are hosted at a data center in Sterling, Virginia. For wider-area disruptions, operations may move outside the affected region. Key suppliers and outsourced partners are expected to support continuity.<br /><br />The plan considers hazards including utility outages, severe weather, fire, earthquakes, and pandemics. The COO coordinates annual walkthrough exercises with the emergency response and IT teams, reviews results, and documents corrective actions and recommendations for improvement.
